Running a driving school without double work: connect your website, calendar and accounting

When your website, scheduling and administration all talk to each other, manual re-keying disappears and you can see exactly what every student still has coming to them.

Why separate systems cost you time

Many driving schools use a booking form on their website, a separate calendar for instructors, and an accounting package such as Moneybird or e-Boekhouden. Without integration, that means: manually adding a registration from the contact form to the schedule, then raising an invoice, and later chasing whether the student has paid. Every step is an opportunity for something to go wrong — think a double booking on Monday morning or a forgotten invoice for a 20-lesson package.

What a connected setup delivers

As soon as a student books a trial lesson or package online, the system immediately places the appointment in the right instructor's calendar, sends a confirmation with lesson terms and conditions, and automatically creates an invoice or payment request. When an iDEAL payment comes in, the status is updated in your accounting. If a student cancels 24 hours in advance, the slot is freed up in the calendar and the instructor receives a notification on their phone.

Practical integrations that work for driving schools

When setting things up, focus on these points:

1. Configure the booking form to only show times that are genuinely available per instructor and per vehicle category (B, motorcycle, trailer).
2. Link packages to a lesson counter, so that at lesson 18 you automatically get a nudge to schedule the CBR exam.
3. Send payment reminders automatically after 7 and 14 days — this cuts down on unpaid lessons.
4. Export a monthly overview per instructor for time registration purposes.
